FERNWALK GUEST COTTAGE BOOKING POLICIES
Since Fernwalk is a Vacation Rental Property it requires a much more comprehensive Rental Agreement and set of Policies which must be reviewed, accepted, signed and returned in order to confirm your booking.
After you complete the booking request, we will email you an attachment of the Fernwalk Guest Cottage Lease Agreement (Policies and Procedures for Fernwalk). Your credit card will be billed one night's rate as a deposit to hold your reservation until the lease agreement is reviewed and accepted.
Within three (3) days of receipt, please review this agreement and let us know if for any reason you would like to cancel your reservation without penalty. Otherwise, the remainder of the balance or portion thereof (per lease agreement requirements) and an original signed copy of this agreement must be received by mail within 5-days in order to secure your reservation.

FERNWALK GUEST COTTAGE LEASE AGREEMENT
(Policies and Procedures for Fernwalk, 708 Main Street, Addison, PA)
It is our goal to provide comfortable high quality lodging to make your visit to Fernwalk one you will remember fondly for years to come. To ensure this, we are committed to high standards and policies that will maintain the beauty and integrity of Fernwalk for all guests. As mentioned on our website description, Fernwalk Guest Cottage is designed to offer a romantic and peaceful haven. It is not conducive of large parties, nor equipped for mobile infants, romping toddlers or young children. We appreciate you taking the time to read the policies in this agreement thoroughly and to ask questions if you need any clarification of understanding.
IMPORTANT – At this point, if you have booked on-line, you have been placed on the calendar as a tentative reservation. Within two (2) days of receipt, please review this agreement and let us know if for any reason you would like to cancel your reservation. An original signed copy of this agreement must be received by mail within 5-days in order to secure your reservation, otherwise, your reservation may be removed from the calendar and the house rented to another guest.
·LODGING DEPOSIT: A deposit of one night’s payment, not including taxes, is required at time of booking to secure your reservation.
·PAYMENT IN FULL & REFUNDABLE SECURITY DEPOSIT – Full payment is due at least 30-days prior to arrival or within 5-days of booking if less than 30-days prior to occupancy. All taxes and a $200.00 refundable security deposit must be paid along with the balance due. The security deposit will be refunded within 15-days of your departure if no damage to the property is found after your visit.
If payments are not received as required, your booking will be taken off the calendar, at which point the cancellation policy would take effect and your dates could be given to someone else. Additionally, a lack of cancellation request will confirm that you are in agreement with these policies and understand that violation of these policies could make you financially responsible and/or liable for damages.
SHORT-NOTICE BOOKINGS – If you are making a reservation within 30 days of your arrival, full payment is due within 5-days of booking or prior to your arrival, whichever is first.
TAXES – All reservations will be subject to 6% Pennsylvania State Tax and a 3% Somerset County accommodation tax. All tax amounts are factored into your final payment amount.
MAXIMUM GUEST LIMIT AND OCCUPANT POLICY – Fernwalk is limited to four (4) people; six (6) people are allowed for an additional fee. This limit does not include non-mobile infants of one year or younger. If occupancy exceeds that represented on the reservation at any time immediate eviction will occur without refund. The person signing this agreement must be at least 24 years of age and an occupant of the property all nights reserved unless otherwise agreed in writing by the Innkeepers/Rental Agent.
PARKING – Fernwalk is limited to four automobiles, none of which are permitted on the lawn. Please do not exceed the maximum number of cars allowed for this property. Motor homes, large trailers or commercial vehicles cannot be accommodated at Fernwalk.
NOISE POLICY – We are pleased to live in a peaceful community and intend to maintain that culture. Noise that can be heard from any other property must cease during the following hours:
·Friday and Saturday from 10:00 pm to 8:00 am
·Sunday through Thursday from 9:00 pm to 8:00 am
Please remember that outside voices do carry throughout the village. If you are planning a loud party, we recommend you find a more secluded location.
SMOKING – Positively NO SMOKING is permitted on this property. If you must smoke, please do so off the premises and deposit any completely extinguished cigarette butts in the outdoor trash receptacle. If we find that there has been smoking inside the house a cleaning and air quality fee of $500 will be charged to the departing guest, plus any other costs that may occur to clean up the smoke damage in the home. Cigarette butts, if any, must not be deposited inside the house.
PETS – Service animals are permitted. Dogs, cats or other pets are not permitted - NO EXCEPTIONS. Any violation of this policy is cause for immediate termination of tenancy with no refund and full and immediate liability for any additional cleaning necessary and all damages incurred by said animal(s).
RETURNED CHECKS - Any check returned for "insufficient funds" or "stopped payment" will not be resubmitted. We will contact you immediately and require a Money Order (available at the USPS) to be received within 5-days. A fee of $35 will be charged for any returned check.
CANCELLATIONS and CHANGES WITHIN 60 DAYS – If you choose to cancel 60-days or more prior to your arrival, a full refund of monies paid will be provided less a $35 fee. We understand that sometimes it is necessary to change or cancel a reservation. All cancellations or reservation changes must be made in writing. The guest is responsible for verifying that the Fernwalk Rental Agent (Hartzell House B & B, Kathryn and David Stemac, Innkeepers) have received their cancellation letter. We cannot refund any advance payment for a canceled reservation less than 60 days from the date of your arrival unless Fernwalk is re-rented for the entire period and prepayment has cleared. We will make every effort to re-book the house; however, if it is not re-booked, you forfeit all monies paid. Once your reservation is confirmed, any cancellations or changes of dates within 60 days of your arrival date will invoke this policy. If a cancellation is successfully re-rented, all of the rent, taxes and damage/security deposit will be refunded, less a $100 cancellation fee or $25 fee for any reservation date changes provided number of days booked are same. If you are concerned about losing your deposit, consider travel insurance; it often runs 2-5% of the cost of your trip. There are many companies that offer this insurance.
REFUNDS - Your reservation and signed FERNWALK GUEST COTTAGE LEASE AGREEMENT bind you to Fernwalk for a specific period of time. There should be no expectation of refunds because you are disappointed with the property you have rented or because something unessential associated with the property is not working to your satisfaction. We will make every effort to correct any problems that arise during your stay in a timely manner. However, there will be no refunds for mechanical failure of nonessential items such as the television, DVD player, wifi, computer, printer, air conditioning, washers/dryers, dishwasher, or other luxury items. If there is a significant problem, notify us immediately. If the internet or TV cable service goes down, we can only attempt to get that back on-line during daytime hours through our cable/internet provider.
DAMAGE/ACCIDENTS TO PROPERTY – Guest/Leaseholder agrees to notify the Rental Agent/Innkeepers as to any damages or accidents that occur at Fernwalk during your rental period. If you have a spill or other incident that could cause staining of the carpets, furniture or bed linens, read the instructions in the guest book for how to proceed. All damages up to $1500 shall be the responsibility of the guest/renter unless said damage was a result of misconduct or violation of the terms of this agreement and/or the policies and instructions listed in the Fernwalk Guest Cottage Guide Book at which point all damages would be the responsibility of the Guest/Leaseholder. ALL DAMAGES MUST BE REPORTED PRIOR TO CHECK-OUT.
CHECK-IN PROCEDURES – Check-in for Fernwalk is between the hours of 4:00 pm and 8:00 pm at the Hartzell House B & B. During peak season, check-in may involve a slight wait as we check guests in on a first arrive, first checked-in basis. We will do our best to have Fernwalk ready for you by 4:00 pm. We strongly advise you to arrive during daylight hours to best find the house, and absolutely before 8:00 pm so that we can give you a quick tour/overview of those things that will help make your stay at Fernwalk safe and enjoyable. Late arrivals are strongly discouraged and require prior arrangement. Late arrivals may be charged a surcharge of $25 per hour or portion thereof past the close of our check-in hours.
CHECK-OUT PROCEDURES - Check out is before 11:00 am on your day of departure. Please be courteous of the incoming guests and cleaning staff by vacating prior to 11:00 am. Check-out time cannot be extended when the house is rented back-to-back (mostly during peak season). Unless agreed otherwise, guests not checked out in time could be charged an additional $50 per hour until check-out is complete. When leaving the house, follow the Check-Out Procedures Checklist in the Fernwalk Guest Cottage Guide Book. Keys must be returned to the Rental Agent/Innkeeper prior to leaving, or if pre-arranged, left on the kitchen island with the property locked up.
TRASH – Please use trash and recycle bags in kitchen island pull-out facing dishwasher. When full, empty trash into dumpster and recycles into recycle bin located in Hartzell House Parking area.
WHAT WE PROVIDE – Fernwalk is equipped with a computer, wifi, cable TV, hair dryer, coffee grinder and maker, toaster, blender, food processor, electric frying pan, pots and pans, grill for broiling in the oven, dishes, cooking utensils, flatware, glasses, outdoor propane grill, and laundry facilities. If you are in need of special items such as espresso maker, specialty pots and pans, garlic press, ice cream maker and so on, we suggest you pack your own – or at least ask if we have that available.
In addition to what is noted above, we will also provide:
·High quality bed linens and towels for each guest; your beds will be made prior to your arrival.
·Dish washer detergent
·Trash bag for kitchen trash can
DVD movies, books, some CDs and games
Basic Beach towels (4)
2 high quality, twin Aero-beds and linens
While we do everything to ensure comfort and convenience, daily maid service is not provided; if this is critically important to you, inquire as to the possibility of paying an extra charge for said service.
With the exception of the beach towels, no towels, linens, utensils, or other personal property are permitted to be removed from the premises. The Blue Goose convenience store in Addison sells plastic utensils and other items you might need.
There is a telephone at Fernwalk for local phone calls and emergency calls. You will need to utilize a calling card to make any long distance or collect phone calls. Cell phone reception is usually available at the house, however, if you cannot call long distance and need to, ask the Innkeepers if you could use their phone.
The Hartzell House B & B nor Fernwalk Guest Cottage are responsible for errors or omissions on the website or any other form of advertising. Please confirm important details prior to making your reservation or immediately thereafter.
